Your new role

We are seeking a highly motivated and detail-oriented Contract Administrator to join our dynamic team. This role is integral to the successful delivery of our projects, encompassing responsibilities across the tendering, preconstruction, and construction phases. The ideal candidate will possess strong organisational skills, a proactive mindset, and the ability to manage multiple priorities effectively.

Contract Administration – Tender Phase
  • Receive and manage tender packages.
  • Maintain document control and formulate tender lists.
  • Issue trade packages and compile project-specific scopes.
  • Assist in the development of bid documentation and submission.
  • Produce detailed methodology plans and other supporting documents.
  • Review trade tenders and recommend selected trades for inclusion.
  • Develop and present tender programs for review.
Contract Administration – Preconstruction Phase
  • Generate head contracts, attachments, and special conditions for approval.
  • Manage building approval processes, including deliverables checklists, fee payments, and submissions to certifiers.
  • Coordinate finish selections and sample approvals.
  • Maintain the design documentation register and ensure consultants have current revisions.
  • Attend design meetings, issue minutes, and track action items.
  • Assist in the development of revised WH&S plans.
Contract Administration – Construction Phase
  • Prepare and distribute comprehensive site documentation packages.
  • Generate trade letting advice and subcontract packages.
  • Receive and verify executed subcontracts, including WH&S compliance and insurance documentation.
  • Maintain a master variation register and incorporate adopted plan requirements into subcontract documentation.
  • Manage trade RFIs, purchasing, and logistics tracking.
  • Generate and submit progress claims and invoices to maintain cash flow.
  • Oversee project invoices, trade progress claims, and retention management.
  • Produce monthly project cost reports and distribute PCG reports.
  • Maintain and update the drawings register, ensuring all trades receive current revisions.
  • Procure final certification deliverables and submit for Certificate of Classification.
  • Compile and submit Operations & Maintenance Manuals to the client, ensuring signed receipt.

What you'll need to succeed

To succeed in this position, you will need to be motivated, with a strong interest in the construction sector.

  • Proven experience in contract administration across all project phases.
  • Strong understanding of construction documentation and processes.
  • Excellent communication and coordination skills.
  • Ability to manage multiple tasks and deadlines efficiently.
  • Proficiency in document control and project management software is advantageous.
  • Ability to navigate Excel to an intermediate level
  • Eligibility to legally work and live in Australia permanently
