About the role

We are seeking a motivated and detail-oriented Project Coordinator to join the Rio Tinto Projects Team and contribute to the successful delivery of a major project. This is an exciting opportunity to work within a dynamic and collaborative environment, supporting one of Rio Tinto’s key strategic initiatives.

As a Project Coordinator, you will play a pivotal role in coordinating project activities within the Owner’s Team. You will work closely with various internal and external stakeholders to ensure seamless communication, effective planning, and timely execution of project tasks.

This role has a blend of accountabilities best suited to someone who is flexible in terms of changing priorities and has an ability to forward plan to support a busy project team.

Reporting to the General Manager – Projects some of the accountabilities may include:

Scheduling and diary management-

  • Plan and manage project leader schedules across multiple priorities, time zones and stakeholders, including drumbeat meetings and resolution of calendar conflicts

  • Arrange and manage travel bookings for leaders and project staff

  • Coordinate office and site meeting requirements including invitations, room bookings, AV, catering

Stakeholder engagement

  • Develop and maintain positive internal and external relationships at all levels through strong engagement resulting in a constructive work environment

  • Assist with the preparation and distribution of both internal and external stakeholder communications e.g. project updates

  • Positively represent the project and leaders through an open, flexible and willing approach

Procurement

  • Prepare purchase requisitions and receipting of subsequent invoices through the use of eReq, SAP, TPRM database and Vendor Supplier Management systems

  • Purchase and manage project specific PP'

Expense management

  • Prepare and submit monthly expense report for project leaders ensuring the timely processing of expenses in line with the company policies and procedures

Report preparation

  • Assist with the preparation, review and distribution of project reporting where required
